How to use TidyCRM
TidyCRM connects to your CRM, scans every sub-account for stale funnels, dead workflows, forgotten contacts and unused assets, then hands you one tidy report to clean up β with a full recovery net so nothing is lost by accident. This guide walks through the whole workflow, step by step.
What is TidyCRM
Agencies accumulate mess: duplicate funnels, paused workflows nobody restarted, imported contacts that were never worked, tags applied to zero records. Across dozens or hundreds of sub-accounts, it's impossible to keep clean by hand.
TidyCRM audits all of it automatically. Nine scanners comb every section of every connected sub-account, apply a "staleness" rule you control, and produce a report grouped by section. You review each finding and choose what to do β nothing changes in your CRM until you say so.

tidycrms.comand click Start free. Enter your name, email and a password. A personal workspace is created for you automatically. - 2

After sign-up you're taken to a short setup wizard, then your Overview dashboard. From here you connect a CRM and run your first audit.

On the Connections page (or the Overview when nothing is connected yet), click Connect with CRM.

You're sent to your CRM to approve access, then bounced straight back. Every sub-account under your agency is discovered automatically.

Your connection appears with all its sub-accounts listed and ready to audit. Access is read-and-archive only, and your credentials are encrypted at rest.

A single agency authorization connects all of that agency's sub-accounts at once. New sub-accounts you add later are picked up automatically on the next audit.
Set what to find and fix
Before your first audit, a quick wizard asks what to look for:

Choose a staleness window
How long an item must sit untouched before it counts as stale β 30, 60, 90, 180 or 365 days. Contacts with no activity, workflows with no runs and forms with no submissions inside this window get flagged.

Run an audit
Click Run audit from the Overview or Audits page. TidyCRM scans your included sub-accounts and builds the report. On large accounts it scans a set number of sub-accounts per run (default 10) and rotates through the rest across runs, so scans stay fast and never time out β run it again to cover the next batch.

If you have 100+ sub-accounts, run one audit, review the results, then run again. You can raise "Sub-accounts per audit" in Settings once you see how fast your account scans.
Read the report
The report groups findings by section β Funnels, Workflows, Contacts, Campaigns, Forms, Calendars, Opportunities, Tags and Media. Each finding shows what it is, why it was flagged, a severity, and a badge:
- auto TidyCRM can archive or delete it directly through the CRM API.
- manual The CRM has no delete API for this type β we give you a deep link to remove it inside your CRM.

Filter by sub-account or status, and use the bulk bar to action many findings at once.
Clean, Hold, and Keep Safe
Every finding has three choices:
- Clean β agree it's junk. The item is archived (a reversible action: a contact is tagged, a calendar deactivated, an opportunity marked abandoned) and moved to Trash for 30 days before any permanent delete.
- Hold β a false positive. Dismisses the finding for this audit only. No change in your CRM; it may resurface in a future audit.
- Keep Safe β never flag this again. The item moves to the Vaultand is permanently excluded from future audits (undo anytime).

The Vault
Everything you mark Keep Safe lives in the Vault and is never flagged by an audit again. Open the Vault to review those items. For any one you can:
- Remove from Vault β let audits catch it again.
- Clean β archive it now and remove it from the Vault.

Trash & recovery
Cleaned items rest in Trash for 30 days. Nothing is permanently deleted until you explicitly empty the Trash and type DELETE to confirm. Restore any item before then to pull it back out. Items the CRM has no delete API for stay listed with a deep link for manual removal.

Settings
Under Settings β Audit behavior you control how every audit runs:
- Staleness window β the days-untouched threshold.
- Schedule β manual, weekly or monthly automatic audits.
- Sub-accounts per audit β how many sub-accounts each run scans (rotating).
- Sections β which of the nine scanners run.
- Email on complete β notify the team when an audit finishes.

Troubleshooting & FAQ
A whole section says "skipped" in my report.+
That section's permission wasn't granted when you authorized TidyCRM. Reconnect from the Connections page and approve all the requested permissions, then re-run. Other sections are unaffected β one skipped section never blocks the rest of the scan.
My audit found 0 items across all sub-accounts.+
Either your accounts really are clean, or the connection needs re-authorizing. Open Connections, reconnect with Connect with CRM, approve access, and run again.
I have 100+ sub-accounts. Will one audit cover them all?+
Each audit scans a batch (default 10) and rotates through the rest across runs. Run it a few times, or raise "Sub-accounts per audit" in Settings.
Can I undo a cleanup?+
Yes. Cleaned items sit in Trash for 30 days β restore any of them. Nothing is permanently deleted until you empty the Trash and confirm.
Is my data safe?+
Tokens are encrypted at rest (AES-256-GCM) and never shown again. TidyCRM only reads and, when you approve, archives/deletes β it never sells or trains on your data. See our Privacy Policy.
